This Privacy Policy explains how Ziply Fleet Inc, a Washington corporation ("Ziply Bay," "we," "us") collects, uses, and protects information in connection with the Ziply Bay repair-order management platform (the "Service"). Ziply Bay is a separate product from Ziply Fleet; this policy covers Ziply Bay only.
When you register, we collect your name, email, password (stored hashed), shop name, and optional shop phone.
To provide the Service, we store the information you and your staff enter, which may include: your customers' names and contact details; vehicle information (VIN, make/model, plate, mileage); motor-carrier identifiers such as USDOT and MC numbers; work orders, estimates, invoices, parts, inventory, and notes.
Subscription payments and card payments your customers make to you are handled by third-party payment processors. We do not store full card numbers; we may receive limited billing details (such as the last four digits and billing status) from the processor.
If your shop offers Zelle, Venmo, or Cash App, we store the payment handles and QR images you choose to display on your customer payment page. When a customer reports a payment they sent by one of these methods, we store the details they submit — the method, an optional reference or confirmation number, an optional note, and any screenshot they upload as proof — so you can review and confirm it. These peer-to-peer services do not notify us when a payment is actually made; a customer's report is an unverified claim until your shop confirms the funds were received.
For roadside jobs, your shop can send a customer a link to share where their vehicle is. If the customer chooses to tap "Share my location," their device sends us its precise GPS location, which we attach to the related work order and show to your shop so a technician can find them. If the customer turns on continuous sharing, their location updates while that page stays open, and stops when they close it or turn it off. Location is only collected when the customer affirmatively taps to share it, is shared only with the shop that sent the link, and the shop is responsible for having the customer's consent. We do not use this location for advertising or for tracking across other apps or websites.
We automatically collect limited technical data such as IP address, browser type, and log/usage events to operate, secure, and improve the Service.
The Ziply Bay mobile app provides the same Service on your phone or tablet. With your permission, the app may use device features — each is optional and can be granted or revoked at any time in your device settings:
Features that depend on a permission (repair photos, voice entry, the shift clock) won't work without it; the rest of the app is unaffected. We do not use your location for advertising or tracking across other apps.
We do not sell your personal information or Your Data.
The information you enter about your customers and their vehicles belongs to you. As between you and us, you are the controller of that information and we process it on your behalf solely to provide the Service. You are responsible for having the necessary rights and consents to provide that information to us. Business customers who require a Data Processing Addendum may contact us through our contact form.
When you use VIN decoding or motor-carrier lookup, the VIN or USDOT/MC number you enter is sent to U.S. government data services — the NHTSA vPIC database (VIN) and FMCSA / data.transportation.gov (carrier) — to retrieve public vehicle and carrier information. Those services operate independently of us and the data they return may be incomplete or inaccurate.
We share information only as needed to run the Service:
We never sell your personal information, and we do not share it with third parties for their own marketing or advertising.
No mobile information — including mobile phone numbers and SMS opt-in consent — is shared with or sold to any third parties or affiliates for marketing or promotional purposes. Text-message consent is never shared with anyone. Mobile numbers are used solely to deliver the service notifications a customer opted in to receive from their repair shop or towing/service provider, and are disclosed only to the messaging carrier that transmits those messages on our behalf, which is contractually prohibited from using them for any other purpose. Ziply Bay and Ziply Fleet are separate products with separate accounts and databases. We do not share data between them by default. If we later offer an optional feature to sync repair history from Ziply Bay into a customer's Ziply Fleet maintenance record, that sharing will occur only with explicit, opt-in consent from the parties involved, and this policy will be updated to describe it before the feature is enabled.
We retain account and Service data for as long as your account is active and as needed to provide the Service. After account termination, we retain Your Data for up to 90 days to allow export and to meet legal, accounting, or security obligations, after which it is deleted or anonymized, unless a longer retention period is required by law.
We use reasonable technical and organizational measures to protect information, including encryption in transit, hashed passwords, access controls, and tenant isolation so each shop can access only its own data. However, no method of transmission or electronic storage is 100% secure, and we do not and cannot guarantee absolute or uninterrupted security. You provide information and use the Service at your own risk, and you are responsible for keeping your account credentials confidential.
Depending on your location, you may have rights to access, correct, export, or delete personal information, and to object to or restrict certain processing. You can manage much of your data directly in the Service, or contact us through our contact form to make a request. For your customers' data that you control, please direct requests to the shop that holds it; we will assist that shop as its processor.
Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act (CCPA) or the EU/UK General Data Protection Regulation (GDPR) — including rights to know, access, correct, delete, and, for California residents, to opt out of any "sale" or "sharing" of personal information. We do not sell or share your personal information. To exercise any of these rights, contact us through our contact form; we will not discriminate against you for exercising them.
The Service is a business tool intended for use by adults and is not directed to children under 16. We do not knowingly collect personal information from children.
The Service is operated from, and data is stored in, the United States. If you access the Service from outside that region, you understand your information may be processed where we and our providers operate.
We may update this Privacy Policy from time to time. We will post the updated version with a new "Last updated" date and, for material changes, provide additional notice.
